Check out our 2020 article: <a href=\"https:\/\/www.sage.com\/en-ca\/blog\/calculating-payroll-tax-canada-the-complete-small-business-guide\/\">Calculating Payroll Tax in Canada: A guide for small businesses.&nbsp;<\/a><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">As a <a href=\"https:\/\/www.sage.com\/en-ca\/size\/small-business\/\">small-business owner<\/a>, you need to determine how to best setup and manage your payroll system\u2014whether you have just hired your first employee or you plan to hire in the near future. <mark class=\"highlight-and-share\">Payroll can be a complex process governed by legal obligations that affect you as the employer and can lead to penalties if not handled correctly.<\/mark> This checklist can assist you in the planning and setup of your small business payroll:<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-planning-your-payroll-system\">Planning your payroll system<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>To begin the payroll system planning process, you will need to determine the following:<\/li>\n\n\n\n<li>Will employees be paid an annual salary or hourly based on time sheets or time clocks?<\/li>\n\n\n\n<li>Will your employees be paid weekly, biweekly, bimonthly, or monthly?<\/li>\n\n\n\n<li>Will paychecks be processed directly into employee bank accounts or by check?<\/li>\n\n\n\n<li>What other payments, deductions, and employee benefits need to be factored in(such as retirement savings, health care benefits, long term disability, life insurance etc.)?<\/li>\n\n\n\n<li>How will you account for bonuses, overtime, or allowances?<\/li>\n\n\n\n<li>Will the payroll process remain in-house or be outsourced to an external vendor?<\/li>\n\n\n\n<li>If you outsource payroll, which parts of the process will be owned by the external vendor?<\/li>\n\n\n\n<li>Payroll requirements planned<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>TIP: <\/strong><i>If you have more than a small handful of employees, you may want to look at using a simple software accounting solution that includes payroll functionality in order to automatically prepare your&nbsp; payroll in-house and avoid costly outsourcing fees.<\/i><\/p>\n\n\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-establishing-policies-and-procedures\">Establishing policies and procedures<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Draw up a payroll policy and procedure document that includes the following to cover all your legal obligations:<\/li>\n\n\n\n<li>The timing of paychecks (e.g. weekly, biweekly, or monthly)<\/li>\n\n\n\n<li>How new hires, terminations, and pay changes will be submitted to payroll<\/li>\n\n\n\n<li>Who can authorize schedule changes, overtime pay, changes to pay rates\/salaries<\/li>\n\n\n\n<li>The rules for payment during work absences (e.g. sick days, holidays, maternity\/adoption\/paternity leave)<\/li>\n\n\n\n<li>The definition of overtime for hourly employees<\/li>\n\n\n\n<li>Safety and workers&#8217; compensation policies<\/li>\n\n\n\n<li>Vacation pay accrual calculations<\/li>\n\n\n\n<li>Any other applicable state requirements<\/li>\n\n\n\n<li>Payroll policy and procedure document drawn up<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>TIP: <\/strong><i>Using a software accounting solution that includes payroll and HR functionality can automate many of the processes listed above\u2014saving you time and money.<\/i><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-assigning-payroll-responsibilities\">Assigning payroll responsibilities<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Identify a point person who will be responsible for payroll. Even when an external vendor is used to outsource payroll, it is necessary to have a company liaison who can gather and double check the information that needs to be processed.<\/p>\n\n\n\n<p
