They&#8217;re either required by British law, included in a contract or agreed in writing.<\/p>\n\n\n\n<p>One important thing to note when working out how much tax is deducted from a salary is that any deduction must not leave employees&#8217; pay below the <a href=\"https:\/\/gb-kb.sage.com\/portal\/app\/portlets\/results\/viewsolution.jsp?solutionid=222001000101576&amp;hypermediatext=null\" rel=\"noopener noreferrer\">National Minimum Wage<\/a>.<\/p>\n\n\n\n<p>There are two main types of pre-tax deductions:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Statutory or involuntary<\/strong>, which you&#8217;re required to deduct from employees&#8217; pay by law.<\/li>\n\n\n\n<li><strong>Non-statutory tax deductions or voluntary<\/strong>, which aren&#8217;t legally required of employers. Instead, employers and employees agree in writing on which non-statutory pre-tax deductions should apply.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-examples-of-statutory-pre-tax-payroll-deductions\">Examples of statutory pre-tax payroll deductions<\/h2>\n\n\n\n<p>If you&#8217;ve heard the question &#8220;how much tax is deducted from salary?&#8221; from your employees, there are number of deductions for them, and you, to take into consideration.<\/p>\n\n\n\n<p>One to remember is on tax rates and thresholds\u2014check <a href=\"https:\/\/www.gov.uk\/guidance\/rates-and-thresholds-for-employers-2025-to-2026\">HMRC\u2019s website<\/a> for the latest details.<\/p>\n\n\n\n<p>Here\u2019s a few more deductions to be aware of.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-income-tax\">Income tax<\/h3>\n\n\n\n<p>The Pay As You Earn (<a href=\"https:\/\/www.sage.com\/en-gb\/blog\/payroll-year-end-guide\/\" rel=\"noopener noreferrer\">PAYE<\/a>) system ensures that income tax is collected evenly during the year.<\/p>\n\n\n\n<p>When working out how much tax is deducted from a salary, it&#8217;s important to realise that there&#8217;s no one-size-fits-all formula.<\/p>\n\n\n\n<p>Each employee&#8217;s deduction will be different, depending on their circumstances. For example, how much they earn (tax band) and their tax code.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-tax-codes\">Tax codes<\/h3>\n\n\n\n<p>Tax codes are made up of letters and numbers. They&#8217;re used to inform you of an employee&#8217;s tax-free allowance.<\/p>\n\n\n\n<p>You must apply the right tax code to every employee, otherwise they can end up either paying too much tax or underpaying tax.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-national-insurance-contributions\">National Insurance contributions<\/h3>\n\n\n\n<p>National Insurance contributions (NICs) in the UK are used to fund government services, such as the State Pension and the NHS.<\/p>\n\n\n\n<p>The amount of NICs you deduct from your employees&#8217; pay varies according to how much they earn.<\/p>\n\n\n\n<p>Employees who earn more than \u00a3242 per week will have Class 1 NICs deducted (unless they\u2019re over the State Pension age, when they won\u2019t pay National Insurance).<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-pensions\">Pensions<\/h3>\n\n\n\n<p><a href=\"https:\/\/www.sage.com\/en-gb\/blog\/pension-contributions\/\" rel=\"noopener noreferrer\">Pension contributions<\/a> can be deducted from employees&#8217; gross pay (net pay arrangement) or after wages are taxed (relief at source).<\/p>\n\n\n\n<p>By law, employers need to automatically enrol (known as auto-enrolment) employees who earn more than \u00a310,000 per year and are aged between 22 and the UK State Pension age into a workplace pension scheme.<\/p>\n\n\n\n<p>You need to deduct a certain percentage (normally around 5%) from employees&#8217; pay to add to their pension pot.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-opting-out-of-a-workplace-pension\">Opting out of a workplace pension<\/h4>\n\n\n\n<p>Auto-enrolment in a UK workplace pension doesn&#8217;t mean that an employee has to continue with the pension scheme. They can opt-out by giving their employer an opt-out notice.<\/p>\n\n\n\n<p>If the opt-out notice is received within one month of the employee starting work, they get a full refund of the pension contribution deducted by payroll.<\/p>\n\n\n\n<p>If they opt-out after a month, their contributions stay in the pension pot until they retire.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-examples-of-non-statutory-pre-tax-deductions\">Examples of non-statutory pre-tax deductions<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-payroll-giving\">Payroll giving<\/h3>\n\n\n\n<p>Employees in the UK can choose to donate money to a cause that&#8217;s close to their heart with payroll giving.<\/p>\n\n\n\n<p>This tax-free donation is made through PAYE and is deducted from employees&#8217; gross salary. The payroll team then makes the necessary deductions for those employees who sign up and keeps the required records.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-techscheme\">Techscheme<\/h3>\n\n\n\n<p>This salary sacrifice helps employees to buy tech, such as phones and laptops.<\/p>\n\n\n\n<p>After the business registers with tech providers, the employee chooses the tech they need and signs the necessary agreements. The payroll team deducts the agreed amount from the employees&#8217; pre-tax pay.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-how-to-manage-payroll-deductions\">How to manage payroll deductions<\/h2>\n\n\n\n<p>To manage payroll deductions, you need to keep up to date with changes in the law and HMRC regulations.<\/p>\n\n\n\n<p>HR managers must work with the legal department to draft contracts and agreements relating to different payroll deductions.<\/p>\n\n\n\n<p>It&#8217;s important for HR teams to talk to employees about payroll deductions.
