Daily?&#8221;<\/p>\n\n\n\n<p>The number of hands dropped sharply.<\/p>\n\n\n\n<p><strong>This sums up the state of AI in accounting: high awareness, low adoption.<\/strong><\/p>\n\n\n\n<p>It\u2019s not a lack of interest; it\u2019s a lack of clarity. <\/p>\n\n\n\n<p>You may have tried AI tools but if the results were mixed and outcomes hazy, the practical next steps may seem uncertain.<\/p>\n\n\n\n<p>Yet the opportunity, clearly set out in Sage report <a href=\"https:\/\/www.sage.com\/en-gb\/accountants\/resources\/practice-of-now\/\" target=\"_blank\" rel=\"noreferrer noopener\">The Practice Of Now<\/a>, shows that there is recognition of the power of AI, machine learning, and automation to transform insight.<\/p>\n\n\n\n<p>According to the report, <strong>92% of accountants and bookkeepers<\/strong> said they spend too much time on manual admin and compliance tasks, which could be drastically reduced using AI.<\/p>\n\n\n\n<p>But while many have started their tech advancement journeys, others haven&#8217;t. By building capability today, you will be ahead of the curve.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-step-2-it-starts-with-mindset-not-tools\">Step 2: It starts with mindset, not tools<\/h2>\n\n\n\n<p>Don\u2019t think about the technical side so much. Rethink how you approach AI. Chris said, \u201cAI is your assistant. It won\u2019t automate you\u2014it will amplify you.\u201d<\/p>\n\n\n\n<p>AI isn\u2019t here to replace accountants\u2014it\u2019s here to empower you. Instead of treating AI as a novelty or a threat, treat it as a long-term strategic partner.<\/p>\n\n\n\n<p>Here are some mindset shifts you can take forward:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-know-your-why\">Know your \u2018why\u2019<\/h3>\n\n\n\n<p>Consider why you want to use AI in the first place. Is it about saving time? Improving client communication? Growing your practice?<\/p>\n\n\n\n<p>Chris says, \u201cYou need to be laser-focused on where you will play first. Don\u2019t try to do everything\u2014focus on one area and learn from it.\u201d<\/p>\n\n\n\n<p>Being clear on your goals helps avoid AI being bolted on with no real benefit.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-involve-the-right-people\">Involve the right people<\/h3>\n\n\n\n<p>AI isn\u2019t just for tech enthusiasts or senior partners\u2014it should be part of everyone\u2019s toolkit.<\/p>\n\n\n\n<p>Consider your internal stakeholders and how to bring the whole team on the journey. Chris says you should ask: \u201cWho are the stakeholders? Who\u2019s involved? Who needs to be kept informed?\u201d<\/p>\n\n\n\n<p>Some clients may have already asked you about AI, and if your team isn\u2019t trained or aware, you risk being caught off guard.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-start-small\">Start small<\/h3>\n\n\n\n<p>Rather than overhauling everything, pick one use case and test AI in a safe, low-risk environment. That could be admin, marketing, communications, or internal reporting.<\/p>\n\n\n\n<p>Chris explains, \u201cYou get so excited about the opportunity that you start doing too many things&#8230; But it\u2019s about learning by application, then scaling up.\u201d<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-choose-your-tools-wisely\">Choose your tools wisely<\/h3>\n\n\n\n<p>Some accountancy practices are jumping straight into general-use Large Language Models (LLMs) such as Claude, Gemini, or ChatGPT. <\/p>\n\n\n\n<p>Others are exploring integrated tools like Microsoft Copilot or <a href=\"https:\/\/www.sage.com\/en-gb\/sage-copilot\/\" target=\"_blank\" rel=\"noreferrer noopener\">Sage Copilot<\/a>, which can sit inside their existing systems.<\/p>\n\n\n\n<figure class=\"wp-block-pullquote\"><blockquote><p><strong>\u201cStandalone tools are great, but you must consider your data, team, and structure. Pick the right tool for the right problem.\u201d <\/strong><\/p><cite><strong>Chris Downing, Director of accountants and bookkeepers, Sage<\/strong><\/cite><\/blockquote><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-step-3-understand-what-ai-can-do-for-you-today\">Step 3: Understand what AI can do for you today<\/h2>\n\n\n\n<p>At Accountex London, Chris Downing gave live demos of how AI can make everyday accounting work faster and easier. <\/p>\n\n\n\n<p>Here are some of the examples he shared:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Bank reconciliation: <\/strong>review your bank statement with an AI tool and ask it to reconcile. It can quickly spot problems such as transposition errors or missing transactions.<\/li>\n\n\n\n<li><strong>Writing client letters: <\/strong>want to explain Making Tax Digital (MTD) for Income Tax to a group of clients? Ask AI to draft a letter in your voice, including key deadlines and actions. You can even ask it to make the tone more formal or more casual.<\/li>\n\n\n\n<li><strong>Summarising technical content: <\/strong>take HMRC guidance, feed it into an AI tool, and ask for a plain-English summary. This is great for client comms, internal training, or marketing.<\/li>\n\n\n\n<li><strong>Creating LinkedIn posts: <\/strong>feed in a blog, prompt, or thought-leadership idea and ask the tool to create five LinkedIn posts for different audience types.<\/li>\n\n\n\n<li><strong>Spotting spreadsheet errors: <\/strong>AI can look at your spreadsheets and help identify unusual patterns, highlight anomalies, or suggest formula fixes.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-prompt-engineering-101\">Prompt engineering 101<\/h3>\n\n\n\n<p>The better your prompt, the better the result. Chris suggested that if you\u2019re using a general-use LLM, you could try structuring prompts like this:<\/p>\n\n\n\n<p>&#8220;I am an accountant at a UK-based firm. A client has asked how Making Tax Digital for Income Tax will affect them. But someone using AI might.\u201d<\/p>\n\n\n\n<p>And that shift starts with skill building. You may have tried AI tools and been underwhelmed, not because they don\u2019t work but because you don\u2019t know how to use them well enough.<\/p>\n\n\n\n<p>There are three common problems with AI:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Not knowing what to ask:<\/strong> AI responds best to specific prompts, not vague questions.<\/li>\n\n\n\n<li><strong>Giving up after a bad result<\/strong>: one weak response doesn\u2019t mean the tool is useless\u2014just that your prompt or context needs refining.<\/li>\n\n\n\n<li><strong>Failing to review or edit outputs:<\/strong> AI gives you a draft, not a final answer. Human judgment is still essential.<\/li>\n<\/ul>\n\n\n\n<p>That\u2019s why you need to consistently carve out space for learning. Make AI training part of your routine. Do you dedicate time every week to upskilling?<\/p>\n\n\n\n<p>Treat AI like any other business tool\u2014something that requires continuous investment. Even just 30 minutes a week can transform how confidently your team uses AI.<\/p>\n\n\n\n<p>Try these training methods:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>\u201cAI Fridays\u201d:<\/strong> a regular, low-pressure session where team members try new prompts or share tips<\/li>\n\n\n\n<li><strong>Internal champions:<\/strong> nominate one or two AI-savvy team members to lead learning and gather best practices<\/li>\n\n\n\n<li><strong>Peer coaching:<\/strong> create a Slack thread or shared doc where people post prompts and outputs that worked for them.<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-pullquote\"><blockquote><p><strong>\u201cJust get stuck into something that isn\u2019t client-facing, that isn\u2019t sensitive client data&#8230; Forget drafting a P&amp;L or sending an email directly\u2014just ask it to draft a reply. See how it feels.\u201d<\/strong><\/p><cite><strong>Jordan Smith, Operations Director, AG Smith &amp; Co<\/strong><\/cite><\/blockquote><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-embrace-informal-learning\">Embrace informal learning<\/h3>\n\n\n\n<p>Chris shares his own learning habit. He said, \u201cFor my own training, I go to TikTok. There are people dropping videos every day on ChatGPT, Copilot, and other tools.\u201d<\/p>\n\n\n\n<p><strong>Don\u2019t underestimate platforms such as TikTok, YouTube, or Reddit.<\/strong><\/p>\n\n\n\n<p>Bite-sized, visual examples can be more effective than long webinars. Combined with product-specific training, they can form a complete toolkit for upskilling.<\/p>\n\n\n\n<p>The key is habit formation. To succeed with AI, you must normalise experimentation, curiosity, and internal sharing\u2014not just buy licences and hope for the best.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-step-5-set-guardrails-policies-and-responsible-use\">Step 5: Set guardrails: Policies and responsible use<\/h2>\n\n\n\n<p>AI is powerful, but with power comes risk. Don\u2019t shy away from that.<\/p>\n\n\n\n<p>Chris says, \u201cYou need to put policies in place. People use these tools without permission, training, or understanding the risks.\u201d<\/p>\n\n\n\n<p>The biggest concern is that you\u2014and your clients\u2014may be feeding personal or financial data into open LLM tools without safeguards.<\/p>\n\n\n\n<p>Chris warned about scenarios in which users might paste sensitive data, such as a bank statement, into an open AI tool without realising where that information could go.<\/p>\n\n\n\n<p>\u201cThat\u2019s the challenge,\u201d he said. \u201cThese tools are incredibly powerful, but that means we have a responsibility.\u201d<\/p>\n\n\n\n<p>While tools like <strong><a href=\"https:\/\/www.sage.com\/en-gb\/sage-copilot\/\" target=\"_blank\" rel=\"noreferrer noopener\">Sage Copilot<\/a><\/strong> are built with data security in mind, it&#8217;s still critical to educate your clients about what data should and shouldn\u2019t be used in any AI environment.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-start-by-creating-basic-ai-guidelines\">Start by creating basic AI guidelines<\/h3>\n\n\n\n<p>Your practice doesn\u2019t need a 20-page policy to start. A simple one-pager can go a long way:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What tools can we use?<\/li>\n\n\n\n<li>What data is off-limits? (for example, client names, bank details, ID numbers)<\/li>\n\n\n\n<li>How should AI-generated outputs be reviewed? (must be checked by a human before being sent externally, for example)<\/li>\n\n\n\n<li>When do we disclose AI usage to clients? (such as in reports, emails, and marketing comms)<\/li>\n<\/ul>\n\n\n\n<p>Be proactive\u2014not just about how you use AI, but how you talk to your clients about it; Chris says: \u201cYou\u2019re being inquisitive about AI\u2014but so are your clients. And who are they going to ask? You.\u201d<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-sage-copilot-built-in-guardrails\">Sage Copilot: Built-in guardrails<\/h3>\n\n\n\n<p>Note the advantage of integrated AI tools such as Sage Copilot, which operate securely within your accounting software. <\/p>\n\n\n\n<p>This reduces risk because:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Data stays within the system<\/li>\n\n\n\n<li>Access is permissioned and traceable<\/li>\n\n\n\n<li>Outputs are context-aware and tailored for finance workflows.<\/li>\n<\/ul>\n\n\n\n<p>Even if you\u2019re starting with free or general-purpose tools, the long-term goal should be clear: move toward secure, embedded solutions that support your financial workflows without adding exposure.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-don-t-stifle-usage-guide-it\">Don\u2019t stifle usage\u2014guide it<\/h3>\n\n\n\n<p>Don\u2019t be scared off\u2014but be responsible as well as curious.<\/p>\n\n\n\n<p>Chris warns, \u201cWe can\u2019t lock AI down. If you do, people will still use the tools without training, support, or policy.\u201d<\/p>\n\n\n\n<p>The better approach is to set boundaries, offer training, and create a culture that supports safe experimentation rather than punishes it.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-step-6-use-ai-for-support-with-mtd-growth-and-resilience\">Step 6: Use AI for support with MTD, growth, and resilience<\/h2>\n\n\n\n<p>AI isn\u2019t just a productivity tool; it\u2019s a strategic enabler.<\/p>\n\n\n\n<p>Whether you&#8217;re navigating regulatory change or trying to scale without burnout, AI can support your practice in these key financial areas:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-making-tax-digital-mtd-for-income-tax-simplify-compliance-deepen-relationships\">Making Tax Digital (MTD) for Income Tax: Simplify compliance, deepen relationships<\/h3>\n\n\n\n<p><a href=\"https:\/\/www.sage.com\/en-gb\/making-tax-digital\/accountants\/\" target=\"_blank\" rel=\"noreferrer noopener\">MTD for Income Tax<\/a> will require practice to manage quarterly submissions, segment clients by digital readiness, and deliver consistent communication. AI can help streamline each of those tasks.<\/p>\n\n\n\n<p>\u201cYou can\u2019t treat MTD like a background task anymore,\u201d Chris warned. \u201cWith AI, you can test messaging, generate emails, and prepare comms in minutes.
