More notice gives you time to consider that commitment alongside recruitment, equipment and other demands on cash.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Trinity Dental wanted to invest in technology, people and the patient experience. The challenge was understanding when the business could make those commitments while also preparing for its tax bills.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Earlier information cannot remove uncertainty or guarantee that an investment will work. It can give you time to examine the assumptions, discuss the options with your accountant and make a decision before it becomes urgent.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Alison says: \u201cIn the past, I would have been given a tax bill from the accountant and then have to find that money. Documents had to be found, spread out, matched manually and filed. Keeping the records up to date involved working through that accumulated paperwork.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Trinity Dental introduced Sage to bring documents and accounting information into a digital process. The team could scan documents and handle smaller amounts of processing more regularly, while cloud access made records available without having to find the physical paperwork.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Adelaine Ginns, Operations Lead at Trinity Dental, took on more of the regular financial processing, while Alison Simpson retained oversight through reports and discussions with the practice\u2019s accountant. The change involved both a different way of handling information and a clearer division of the work.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Adelaine says: \u201cWhen we were doing the paper version of the invoicing, it would take us up to two full days, and now with Sage, it takes us a couple of hours.\u201d&nbsp;<\/p>\n\n\n\n<h2 id=\"Using-financial-information-to-assess-a-hire\" class=\"wp-block-heading\"><strong>Using financial information to assess a hire<\/strong>&nbsp;<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">At Trinity Dental, missed-call data helped Alison identify a need for more reception capacity. She then used the practice\u2019s financial information to assess whether another team member\u2019s salary would fit within her staffing-cost benchmark. \u201cSo I knew then that Trinity could definitely allow that change and allow it comfortably,\u201d Alison explains.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The operational information showed where extra capacity was needed. The financial information helped establish whether the practice could afford it. Together, they gave Alison a clearer basis for assessing the hire.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The same approach applies to an equipment purchase or another investment. Establish the business need, then use the financial information to test the timing and affordability.&nbsp;<\/p>\n\n\n\n<h2 id=\"Sharing-work-without-giving-up-oversight\" class=\"wp-block-heading\"><strong>Sharing work without giving up oversight<\/strong>&nbsp;<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Receiving figures earlier creates more time to plan. Redesigning the process and assigning routine work differently can also reduce the amount of administration that depends on the owner.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Trinity Dental\u2019s division of responsibilities illustrates an important distinction: processing and oversight do not have to be the same job. An owner can review the financial picture and work with their accountant without personally completing every routine step.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you want to share more of the work, start by making responsibilities clear. Who processes the documents? Who checks that the information is complete? Which questions need to come back to you or your accountant? Access to software helps, but the process also needs to be understandable to the people using it.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Alison says: \u201cYou can bring on the best technology available, but if you don\u2019t have the right people to actually make those changes, then the technology is just not going to be successful.\u201d&nbsp;<\/p>\n\n\n\n<h2 id=\"Check-the-timing-of-one-real-decision\" class=\"wp-block-heading\"><strong>Check the timing of one real decision<\/strong>&nbsp;<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Choose one recent decision: a hire, a purchase, an investment or a payment that required preparation. Write down when you needed to decide and when you received the financial information to assess it. How much time did that leave to consider your options?&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If the information arrived too late to influence the outcome, work backwards. Was paperwork accumulating? Were transactions processed infrequently? Did information sit with one person? Or did reports become available only after the decision was needed?&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The answer helps identify what to change. You might need more regular processing, clearer responsibilities, better access to records or an earlier conversation with your accountant.
