clients for your tax preparation business, it might be as simple as learning how to get them organised.<\/p>\n\n\n\n<p>Encouraging clients to start early with their tax returns and keeping good records using Self Assessment&nbsp;<a href=\"https:\/\/www.sage.com\/en-gb\/sage-business-cloud\/accounting\/features\/self-assessment\/\">accounting software<\/a>&nbsp;will make their life easier and boost your business.<\/p>\n\n\n\n<p>Is accounting stressful? It can be but you can use&nbsp;<a href=\"https:\/\/www.sage.com\/en-gb\/accountants\/\">practice management software<\/a>&nbsp;to keep on top of workflows and automate other processes.<\/p>\n\n\n\n<p>This will help you minimise time on manual tasks, such as inputting data from receipts, and spend more time on value-added services to clients.<\/p>\n\n\n\n<p>And it will make you feel much less stressed over the festive period and into January.<\/p>\n\n\n\n<p>The 31 January deadline could represent just the few remaining touchpoints for clients before the April 2026 introduction of Making Tax Digital for Income Tax Self Assessment (MTD for ITSA). There\u2019s also <a href=\"https:\/\/www.sage.com\/en-gb\/blog\/basis-period-reform-making-tax-digital-accountants\/\">basis period reforms<\/a>&nbsp;to consider too.<\/p>\n\n\n\n<p>It might be a good time for your practice to start educating affected clients about the administrative changes that are going to be legally required of them in the coming years\u2014and to start planning resources within your practice to cope.<\/p>\n\n\n\n<p>Sign up a client for Making Tax Digital now, and they will be in great financial shape when it rolls out in 2026 and 2027.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"self\">Self Assessment stress to deal with<\/h2>\n\n\n\n<p>Small enterprises make up over&nbsp;<a href=\"https:\/\/assets.publishing.service.gov.uk\/government\/uploads\/system\/uploads\/attachment_data\/file\/801449\/Simplifying_everyday_tax_for_smaller_businesses_-_web.pdf\">99% of the 5.7 million businesses in the UK<\/a>, according to the Office for Tax Simplification. In three quarters of these, the owner doesn\u2019t employ any staff.<\/p>\n\n\n\n<p>This means that for them, dealing with tax can be a burden compared with the daily pressure of running a business.<\/p>\n\n\n\n<p>Time spent on record keeping is also time they are not earning, so some collect and send records to their accountants as late as possible, and occasionally in a disorderly manner. <\/p>\n\n\n\n<p>This is the right time to encourage use of HMRC sign-ups for your client for Making Tax Digital. <\/p>\n\n\n\n<p>Getting into the correct habits early on will ensure the business stays compliant. You could even go through practice tax return forms with them, but this puts tremendous pressure on your practice\u2019s tax teams.<\/p>\n\n\n\n<p> They must already chase records, tidy them, and file everything on time for your clients, creating stress, Self Assessment logjams, and longer working hours.<\/p>\n\n\n\n<p>Caroline Miskin, senior technical manager, digital taxation, at the&nbsp;<a href=\"https:\/\/www.icaew.com\/\">Institute of Chartered Accountants in England and Wales (ICAEW)<\/a>, says that, in addition to clients\u2019 tardiness, it is often a stressful period for accountants due to the sheer volume of work involved.<\/p>\n\n\n\n<p>However, some firms have nailed the process by embedding systems that ensure all returns are in by Christmas, she says.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"get\">Get your clients to begin early<\/h2>\n\n\n\n<p>The first step towards achieving this is to prepare far in advance, says Caroline. Review your processes immediately after one&nbsp;<a href=\"https:\/\/www.sage.com\/en-gb\/sage-business-cloud\/accounting\/features\/self-assessment\/\">Self Assessment<\/a>&nbsp;season finishes, then start planning for the next.<\/p>\n\n\n\n<p>Analyse what went well, what did not, and how you can adjust your processes for requesting and chasing information from clients.<\/p>\n\n\n\n<p>Most firms now use&nbsp;<a href=\"https:\/\/www.sage.com\/en-gb\/accountants\/products\/accounts-production-and-tax\/\">commercial tax assessment filing software<\/a>. But good practice management software is also essential.<\/p>\n\n\n\n<p>\u201cWe\u2019re starting to see more software that automates information requests, via secure data exchanges, and chases late information,\u201d says Caroline. \u201cIt will tell you the status of each job at any time.\u201d<\/p>\n\n\n\n<p>Set clear expectations and ground rules for clients and stick to them.<\/p>\n\n\n\n<p>The instinct of some accountants is to be hugely accommodating with tardy clients, as they pay the bills, says Caroline. But the firms that find it less stressful have educated clients to send information early and have stood by their rules.<\/p>\n\n\n\n<p>Joanne Harris, global payroll compliance and audit lead at CSL, says encouraging clients to start gathering their tax return information early gives you the leeway to check, double check, and find and rectify mistakes before the 31 January deadline.<\/p>\n\n\n\n<p><a href=\"https:\/\/www.sage.com\/en-gb\/sage-business-cloud\/accounting\/features\/self-assessment\/\">Online accounting software<\/a>&nbsp;goes a long way towards organising, storing, and collating information needed to submit annual returns, adds Joanne.<\/p>\n\n\n\n<p>But she also recommends using practice management or workflow software to set reminders for follow-ups, such as tackling client requests.<\/p>\n\n\n\n<p>The result is that, instead of losing time on activities such as receipt collation, qualified accountants can offer more valuable expertise and services, such as tax planning, to clients.<\/p>\n\n\n\n<div class=\"single-cta\">\n\t<a\n\t\tclass=\"button button--primary gate-1f125221-8708-4119-af09-da55f4e6ef95\"\n\t\trole=\"button\"\n\t\tdata-button-location=\"content_area\"\n\t\thref=\"#gate-1f125221-8708-4119-af09-da55f4e6ef95\"\n\t>Give your clients the support they need with their tax returns by downloading and sending them a free copy of Get Self Assessment right each time<\/a>\n<\/div>\n\n\n\n\n<h2 class=\"wp-block-heading\" id=\"encourage\">Encourage your clients to use accounting software<\/h2>\n\n\n\n<p>Alison Parsons, Sage development manager at accountancy practice&nbsp;<a href=\"https:\/\/albertgoodman.co.uk\/\">Albert Goodman<\/a>, says her firm is reaping the benefits of a concerted drive to show clients the benefits of using cloud accounting software and bank feeds.<\/p>\n\n\n\n<p>Doing accounting digitally is going to become a legal requirement for many sole traders and landlords from April 2026, due to Making Tax Digital. How can you sign up a client for Making Tax Digital?<\/p>\n\n\n\n<p>This can be done via cloud accounting software or even a spreadsheet with the addition of <a href=\"https:\/\/www.sage.com\/en-gb\/blog\/glossary\/what-is-a-bridging-tool-or-bridging-software\/\">bridging software<\/a>&nbsp; (although it\u2019s not yet clear how effective this will be).<\/p>\n\n\n\n<p>With bank feeds connected to cloud accounting software, clients can produce, in its simplest form, a cash book that is kept up to date and largely auto-populated by pre-set rules, she says.<\/p>\n\n\n\n<p>This saves up to 80% of record-keeping time for the business owner.<\/p>\n\n\n\n<p>\u201cIt also means we can now approach these businesses soon after the end of the tax year and provide an early tax estimate, which reduces stress greatly for staff and is great for the client too,\u201d says Alison.<\/p>\n\n\n\n<p>\u201cInternally, everyone shares the role of monitoring progress on client deadlines, with partners, managers and tax team members updated regularly on tax returns that have been completed and those still to come in.\u201d<\/p>\n\n\n\n<p>Everyone is also keen to move this forward at a much earlier stage than in past years, so the bulk of tax return work is well underway at an advanced stage, she says. This allows the team more time to focus on clients who might need more help completing their records.<\/p>\n\n\n\n<p>\u201cBy making the most of bank feeds, rules, invoice capture and auto-entry, we have reduced time spent preparing basic records for our clients, allowing staff more time to analyse and review resulting figures,\u201d says Alison.<\/p>\n\n\n\n<p>\u201cAll this means we can reduce time pressure on staff and offer greater value to the client, for example, presenting key performance indicators [KPIs] and tailored management packs as part of the service.<\/p>\n\n\n\n<p>\u201cThese give greater insight into how their business is performing and an early sign of developing trends.<\/p>\n\n\n\n<p>\u201cIt\u2019s important for our clients to receive the best possible value from our service. Like many professions, accountancy is a competitive market. It\u2019s therefore worth talking to your firm\u2019s IT team about RPA if you haven\u2019t already.\u201d<\/p>\n\n\n\n<p>Chris says it is vital to know what challenges lie ahead in the Self Assessment tax return season.<\/p>\n\n\n\n<p>\u201cAccountants can become set in their ways,\u201d he warns. \u201cThey may use old software and have little interest in updating. Perhaps they are scared to retrain with new tools.<\/p>\n\n\n\n<p>\u201cBut tax software is becoming smarter. Most will have workflow, <a href=\"https:\/\/www.sage.com\/en-gb\/accountants\/products\/automate-your-practice\/\">automation<\/a>&nbsp;tools and links to HMRC, so you should use these things fully.<\/p>\n\n\n\n<p>\u201cYou can also use these records for comparison next year, which will make future seasons less stressful too.<\/p>\n\n\n\n<p>\u201cIf you are not open to change, the busy season will remain as hectic as ever \u2013 more so than it needs to be\u2014and [service levels can suffer].\u201d<\/p>\n\n\n\n<p>As HMRC rolls Making Tax Digital (MTD) out beyond VAT to Income Tax and Corporation Tax, automation will move from optional to mandatory in many cases. By automating early, practices can understand what works best for them and leverage the technology to reduce the peak workload during tax return season.<\/p>\n\n\n\n<p>Being organised in this way will help to avoid last-minute panics, which create more risk of mistakes, missed planning opportunities, or not delivering good client care, he says.<\/p>\n\n\n\n<p>Catherine Livingstone, partner at accountancy firm&nbsp;<a href=\"https:\/\/www.wyliebisset.com\/\">Wylie &amp; Bisse<\/a><a href=\"https:\/\/www.wyliebisset.com\/\">t<\/a>, encourages her business clients to automate as much as possible.<\/p>\n\n\n\n<p>\u201cThere is now software our clients can use to make bookkeeping a much quicker and more efficient process.&nbsp;<a href=\"https:\/\/www.sage.com\/en-gb\/sage-business-cloud\/accounting\/features\/self-assessment\/\">Cloud accounting software<\/a>&nbsp;has many tools that can make things easier to manage \u2013 for example, you can link to your bank directly, so transactions are downloaded into your software.<\/p>\n\n\n\n<p>\u201cUsing automation also reduces errors and speeds up processes. Plus, the software will provide up to date and accurate information meaning we can better advise our clients throughout the year\u2014not just at the year end\u2014and they can make better decisions.<\/p>\n\n\n\n<p>\u201cThe software can also help businesses operate as they can use it on the go, anywhere, to capture cash expenses or check whether a customer has paid them.\u201d<\/p>\n\n\n\n<div class=\"single-cta\">\n\t<a\n\t\tclass=\"button button--primary gate-1f125221-8708-4119-af09-da55f4e6ef95\"\n\t\trole=\"button\"\n\t\tdata-button-location=\"content_area\"\n\t\thref=\"#gate-1f125221-8708-4119-af09-da55f4e6ef95\"\n\t>Give your clients the support they need with their tax returns by downloading and sending them a free copy of Get Self Assessment right each time<\/a>\n<\/div>\n\n\n\n\n<h2 class=\"wp-block-heading\" id=\"managing\">Managing resources<\/h2>\n\n\n\n<p>Jo Nockels, head of group finance at accounting network&nbsp;<a href=\"https:\/\/www.taxassist.co.uk\/\">TaxAssist Accountants<\/a>, says it\u2019s vital to manage your resources carefully during the tax return season and&nbsp;<a href=\"https:\/\/www.sage.com\/en-gb\/accountants\/products\/accounts-production-and-tax\/\">tax return software<\/a>&nbsp;can you help you with that and be more efficient.<\/p>\n\n\n\n<p>\u201cIt will give you a clear understanding of all the jobs you need to complete by 31 January and how long they will take,\u201d she says.<\/p>\n\n\n\n<p>\u201cIf you have staffing issues, you can then forecast how long the jobs will take and plan to have the resources, for example, through staff overtime, or outsourcing to local bookkeepers.\u201d<\/p>\n\n\n\n<p>Receipt-processing software is another useful application, says Jo. She adds: \u201cEither via upload, snap, scanning or emailing, this can capture the information on receipts and sales invoices, of varying sizes, in record time.<\/p>\n\n\n\n<p>\u201cPlugging this data straight into cloud bookkeeping products is powerful and can give clients access to real-time insight into their business.\u201d<\/p>\n\n\n\n<p>Document exchange portals are also great tools, she points out.<\/p>\n\n\n\n<p>\u201cThe postal service can be slow and unreliable, so we are starting to implement portals to securely exchange documents with clients,\u201d says Jo. \u201cIt is safe and it provides an audit trail of document transmission and approval.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"automate\">Automate communication<\/h2>\n\n\n\n<p>Masum Ahmed, tax partner at&nbsp;<a href=\"https:\/\/www.mcbridesllp.com\/\">McBrides Chartered Accountants<\/a>, says communication is key to making the period to the end of January less stressful, and more profitable and useful for clients.<\/p>\n\n\n\n<p>\u201cOur marketing team do a great job communicating about this, in differing forms, including via social media campaigns,\u201d he says. \u201cEvery six weeks, starting in May, we send a reminder to clients to file their information.<\/p>\n\n\n\n<p>\u201cCollaborating with colleagues in all departments, including marketing and corporate finance, is essential. Colleagues are well versed in communicating the benefits of filing early and the opportunities for tax planning.<\/p>\n\n\n\n<p>\u201cFor example, if we know the tax liability early in the year, we can help the client change their liability by making gift aid payments, pension contributions and transferring assets between spouses.<\/p>\n\n\n\n<p>\u201cWe underline that the earlier a client completes their tax return, the more time they have to budget and manage their cash flow.<\/p>\n\n\n\n<p>\u201cAlso, if they have overpaid HMRC, it is in their interest to complete their tax return early. HMRC is less busy in July, so it will likely receive their refund quicker.<\/p>\n\n\n\n<p>\u201cWe often remind clients that it\u2019s better to have this in July than December\u2014rather than being an early Christmas present, it could be money for a summer holiday. Sharing these benefits makes a difference to the workflow.\u201d<\/p>\n\n\n\n<p>McBrides also encourages clients to gather their tax return information throughout the year so they can access it quickly, and the firm communicates how easy it is now to use technology and embrace the cloud.<\/p>\n\n\n\n<p>\u201cOver the past few years, we have encouraged clients to embrace software to make things smoother for all,\u201d says Masum.<\/p>\n\n\n\n<p>\u201cThere are benefits to the client being more on top of their data and not having to rush to find errant receipts at the last minute.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"final\">Final thoughts on making Self Assessment less stressful<\/h2>\n\n\n\n<p>The sheer volume of work and the tendency for clients to send information late means that many accountancy practices still find the period up to 31 January hectic and stressful.<\/p>\n\n\n\n<p>Add in educating about MTD for ITSA and the even more immediate basis period reforms, and accountants can be forgiven for feeling their stress levels rise.<\/p>\n\n\n\n<p>But some are now ahead of the curve, thanks to better processes and embracing improvements in accounting and practice management software.<\/p>\n\n\n\n<p>Starting early is key, as is reviewing your processes in a regular and timely fashion. Communication with clients is also essential and has been made easier by technological improvements.<\/p>\n\n\n\n<p>If you embrace these changes, the Self Assessment period should no longer be a burden.
