Support your team by providing structure and direction<\/h2>\n\n\n\n<p>Being a leader isn\u2019t easy, especially during a challenging situation. Yet, finance leaders around the world are being asked to <a href=\"https:\/\/www.sage.com\/en-gb\/blog\/employee-engagement-working-remotely\/\">manage remote teams<\/a> \u2013 which may be a&nbsp;new reality for you. You may be thinking:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>How can I keep my team engaged and communication lines open when we are not meeting in person?<\/li>\n\n\n\n<li>How do I keep morale and productivity high?<\/li>\n\n\n\n<li>How can I emotionally support my team and ease their fears during uncertain times?<\/li>\n<\/ul>\n\n\n\n<p>First and foremost, be human.<\/p>\n\n\n\n<p>Recognise that you are dealing with people under a lot of personal and professional stress. It\u2019s critical to be authentic and empathetic with your team, as well as with your customers and prospects.<\/p>\n\n\n\n<p>With an understanding mindset, provide structure, direction and support to your people.<\/p>\n\n\n\n<p>It\u2019s OK to over-communicate with your team \u2013 especially in the beginning \u2013 to set expectations (such as how your team will share information, manage projects and deadlines, and make decisions) and give everyone the space to express concerns and concerns they may have.<\/p>\n\n\n\n<p>Try introducing a daily check-in \u2013 this could be a simple 15 to 20-minute meeting that occurs at the same time each day \u2013 where you and your teammates answer three questions:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What did I accomplish yesterday?<\/li>\n\n\n\n<li>What will I do today?<\/li>\n\n\n\n<li>What obstacles, if any, will hold me back from progressing?<\/li>\n<\/ul>\n\n\n\n<p>Use regular one-on-one meetings to stay in contact with your team.<\/p>\n\n\n\n<p>This will allow you to spend a bit more time with each person and ask questions such as: \u201cWhat is and isn\u2019t working? How can I support you? Be productive from anywhere and at anytime<\/h2>\n\n\n\n<p>For employees who are required to <a href=\"https:\/\/www.sage.com\/en-gb\/blog\/help-employees-work-from-home\/\">work from home<\/a>, following measures set by the government, help to ensure they are equipped to be productive.<\/p>\n\n\n\n<p>Depending on their role, they may need access to a laptop or desktop computer, a comfortable keyboard, a camera for video conferencing, a mobile phone, and cybersecurity software to protect their (and the company\u2019s) information.<\/p>\n\n\n\n<p>A good backup solution is key, too, in case of a power outage or hardware issue.<\/p>\n\n\n\n<p>To keep your team engaged and collaboration levels high, try and have <a href=\"https:\/\/www.sage.com\/en-gb\/blog\/employee-engagement-working-remotely\/\">embrace the webcam<\/a>.<\/p>\n\n\n\n<p>While conference calls can be tricky due to time delays, not knowing who is talking because you can&#8217;t see the person, and people getting interrupted unintentionally, video calls allow participants to see who they are talking to \u2013 increasing overall focus and interaction.<\/p>\n\n\n\n<p>To stay on track with your business, opt to <a href=\"https:\/\/www.sage.com\/en-gb\/blog\/cloud-financial-reporting-cfo\/\">leverage the cloud<\/a> to get direct, anytime access to key documents and systems, including your financial management hub \u2013 via a single set of resources, application infrastructure, and database.<\/p>\n\n\n\n<p>This will give you the flexibility to deliver value, availability, security, and support to your customers when they need it most.<\/p>\n\n\n\n<p>If your business isn\u2019t in the cloud, make sure your important documents are easily accessible to enable access for key stakeholders, no matter where they are.<\/p>\n\n\n\n<p>Assign the appropriate access rights to help ensure the correct people can view it, while valuable information doesn\u2019t get lost or accidentally deleted.<\/p>\n\n\n\n<p>Make sure to clarify roles and responsibilities in this new environment.<\/p>\n\n\n\n<p>Think about who needs to be involved in key decision-making and in what capacity. Consider who determines when an event necessitates moving from <a href=\"https:\/\/www.sage.com\/en-gb\/blog\/business-continuity-plan\/\">continuity plans to crisis<\/a>.<\/p>\n\n\n\n<p>By tackling these details beforehand, you\u2019ll establish clear accountability from the outset.&nbsp;This will help you and your team to keep moving forward productively.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-3-stay-on-top-of-your-planning-needs\">3. Stay on top of your planning needs<\/h2>\n\n\n\n<p>With the impact of <a href=\"https:\/\/www.sage.com\/en-gb\/coronavirus\/\">coronavirus<\/a> changing on a daily (and even hourly) basis, affecting revenue and profits, your firm will need to regularly amend your plans for a variety of scenarios.<\/p>\n\n\n\n<p>For example, where does it make sense to curtail or stop spending?<\/p>\n\n\n\n<p>Are there investments that should be made in the next few days, or weeks, to ensure your business recovers faster when the coronavirus outbreak ends \u2013 which could be months from now?<\/p>\n\n\n\n<p>If you\u2019re working in spreadsheets, you\u2019ll want to be careful about maintaining confidentiality and using \u2018final\u2019 versions.<\/p>\n\n\n\n<p>If you\u2019re lucky enough to have a financial planning and analysis tool in place to help you react in real time, uncover trends and deliver insights quickly, the process is likely to go smoother.<\/p>\n\n\n\n<p>Time is your most precious asset.<\/p>\n\n\n\n<p>Use it to gain alignment, and create transparency and accountability within your finance team and other key stakeholders to effectively make important decisions.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-4-ensure-financial-transparency-and-insight\">4.
