So, you can see at a glance what your business might expect to be spending and receiving in, say, six months\u2019 time.<\/p>\n\n\n\n<p>How to do a cash flow forecast needn\u2019t be complicated.<\/p>\n\n\n\n<p>Many people create a cash flow forecast within a spreadsheet, like the ready-made cash flow forecast template we\u2019ve created for you (see below). <\/p>\n\n\n\n<p>If you\u2019re using <a href=\"https:\/\/www.sage.com\/en-ie\/sage-business-cloud\/accounting\/\">cloud accounting software<\/a>, you might find the feature is built-in, perhaps in the form of a report or dashboard.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"why-anchor-link\">Why is a cash flow forecast important?<\/h2>\n\n\n\n<p>There are two reasons why a cash flow forecast is important.<\/p>\n\n\n\n<p>Want to know if you can afford a new van, or to move into new premises? <\/p>\n\n\n\n<p>A cash flow forecast will tell you when this will be possible \u2013 or if you need to make changes to how you work to make it possible.<\/p>\n\n\n\n<p>The second reason cash flow forecasts are important is that investors or banks providing you with money will want to see the document.<\/p>\n\n\n\n<p>They\u2019re interested in the same things you are \u2013 which is to say, your projected liquidity and growth.<\/p>\n\n\n\n<p>But the fact you even have a cash flow forecast is also what they\u2019re looking for. Maintaining one is simply one sign of a well-run business.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"does-anchor-link\">What does a cash flow forecast show?<\/h2>\n\n\n\n<p>Usually, it\u2019s split into two sections. <\/p>\n\n\n\n<p>The top half shows incoming cash, and the bottom half shows outgoing regular payments.<\/p>\n\n\n\n<p>It\u2019s usually further split into estimated vs actual columns for each month, with the idea that you can fill in the latter once the month in question has ended to see how accurate you were \u2013 which can then inform further cash flow forecasting.<\/p>\n\n\n\n<p>On the free Sage Advice cash flow forecast template, we\u2019ve named the incoming sections \u2018Receipts\u2019 and the outgoing section \u2018Cash Payments\u2019. These are also referred to as A and B.<\/p>\n\n\n\n<p>At the bottom of the two sections is a Net Cash Flow box \u2013 which is A minus B \u2013 and the goal is to ensure this is always positive.<\/p>\n\n\n\n<p>Some months it might not be, of course, which is fine \u2013 provided you\u2019ve made plans for this to happen, such as by arranging an overdraft.<\/p>\n\n\n\n<p>Of course, it\u2019s not enough to merely enough to create and maintain the cash flow forecast. You need to know how to analyse it, especially if you\u2019ve created it with the help of somebody else such as an accountant.<\/p>\n\n\n\n<p>You should be able to glance at the forecast and understand the data \u2013 and be sure it\u2019s accurate. It should be updated as frequently as any of your other key financial documents.<\/p>\n\n\n\n<p>If you lose or gain a big sale, for example, then that should be reflected immediately in the forecast moving forward.<\/p>\n\n\n\n<div class=\"wp-block-buttons is-layout-flex wp-block-buttons-is-layout-flex\">\n<div class=\"wp-block-button\"><a class=\"wp-block-button__link wp-element-button\" href=\"#gate-0ba45a37-4e28-4545-bc08-1c1e35e790ec\">Download your free cash flow forecast so you can stay on top of the numbers<\/a><\/div>\n<\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"how-anchor-link\">How to use a cash flow forecast template<\/h2>\n\n\n\n<p>Here\u2019s how to complete a cash flow forecast.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">1. Accruals vs cash accounting: A quick overview<\/h3>\n\n\n\n<p>There are essentially two ways of recording income and expenditure in a business. The first is where you record money when you get it, and when you spend it. <\/p>\n\n\n\n<p>This is known as cash accounting.<\/p>\n\n\n\n<p>Or you might record income and expenditure as they\u2019re incurred \u2013 when you issue the <a href=\"https:\/\/www.sage.com\/en-ie\/sage-business-cloud\/accounting\/features\/invoicing\/\">invoice<\/a> for a sale, even though you won\u2019t necessarily get the money from the customer for a while thanks to 30-day terms.<\/p>\n\n\n\n<p>But at least the sale will be listed near to the expenditure, making it easier to see what\u2019s what.<\/p>\n\n\n\n<p>It might sound like accruals accounting is best for forecasting. And it is. But not when it comes to cash flow forecasting.<\/p>\n\n\n\n<p>The clue is right there in the title \u2013 this is about forecasting the flow of cash.<\/p>\n\n\n\n<p>You should only be detailing income and expenditure in the forecast when you expect it to be received or spent.<\/p>\n\n\n\n<p>This might mean you have two or more entries in the forecast each month for incoming cash \u2013 one for sales for which you receive cash immediately, and another entry for receivables, which is to say, money that\u2019s come in that you\u2019re owed, most likely from previous months.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. How to calculate the opening balance in a cash flow forecast<\/h3>\n\n\n\n<p>The opening balance on a new cash flow forecast is simply your bank balance \u2013 but with a caveat.<\/p>\n\n\n\n<p>You should make the first month in your new cash flow forecast the current month you\u2019re in (which, obviously, will not yet be complete).<\/p>\n\n\n\n<p>So, if you create the cash flow forecast in March then March will be your first month.<\/p>\n\n\n\n<p>Therefore, in the opening balance field, you should simply input your bank balance \u2013 but from the start of the month. Look to your bank statement to find this.<\/p>\n\n\n\n<p>The opening balance for each subsequent month should be calculated based on the bank balance plus the net cash flow figure from the previous month.<\/p>\n\n\n\n<p>Most cash flow templates will automatically complete this based on the previous month\u2019s data.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3. How to calculate sales in a cash flow forecast<\/h3>\n\n\n\n<p>You should try to be accurate when projecting cash coming in through cash sales receipts (those for which you receive the money immediately).<\/p>\n\n\n\n<p>A good way to do this is to look at your sales figures from the same period in previous years, and then look at how they rose (or fell) compared to the same month in the ensuing years.<\/p>\n\n\n\n<p>Try to identify patterns.<\/p>\n\n\n\n<p>Of course, if yours is a new business, this will be impossible and you\u2019ll have to make estimates based on best guesses. <\/p>\n\n\n\n<p>But these can be corrected as time goes on and you generate sales data. Also, don\u2019t forget seasonality in your projections.<\/p>\n\n\n\n<p>You can aggregate all your product sales into a single figure within the forecast, or split products out on the cash flow forecast if you desire that degree of granularity.<\/p>\n\n\n\n<p>On the whole, though, it\u2019s good to keep things simple. How to calculate receivables in a cash flow forecast<\/h3>\n\n\n\n<p>This one is slightly easier to calculate from the get-go on a new forecast because all you need to do is examine your existing invoices and terms, plus any sales contracts.<\/p>\n\n\n\n<p>For example, if you made a \u20ac500 sale last month on terms of 30 days, it\u2019s safe to enter this into the receivables field for this month. You can use the length of the contract you agreed to project that out over the coming months.<\/p>\n\n\n\n<p>Remember that you might need to add in time for payments to clear too. There might be an effective payment term of, say, 30 days plus a couple more days until the payment actually appears in your account.<\/p>\n\n\n\n<p>Don\u2019t forget to project for all sources of income and not just sales.<\/p>\n\n\n\n<p>You might be in receipt of grants from the government, for example, or your accountant might tell you that you\u2019re due a tax rebate at the end of your accounting period.<\/p>\n\n\n\n<p>Remember that it\u2019s not just about sales vs expenditure. This is about all cash coming in and out, regardless of where or why.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">5. How to calculate expenditure in a cash flow forecast<\/h3>\n\n\n\n<p>You should aim to record expenditure you expect to make in the months you make the payments.<\/p>\n\n\n\n<p>Again, if your business is established, this shouldn\u2019t be hard to project based on existing bills and invoices you\u2019ve received.<\/p>\n\n\n\n<p>Aim to record everything, including rent, utility bills, supplies, vehicle expenses such as fuel, and so on.<\/p>\n\n\n\n<p>The list might be surprisingly long.<\/p>\n\n\n\n<p>Remember that the goal is to record the payment when it\u2019s going to be made.<\/p>\n\n\n\n<p>In other words, if you pay your \u20ac1,000 electricity bill quarterly then you should include the full \u20ac1,000 payment in the month it occurs.<\/p>\n\n\n\n<p>Don\u2019t be tempted to take the payment and divide it by four to spread it across the relevant quarter because, again, that\u2019s not how a cash flow forecast works.<\/p>\n\n\n\n<p>If you do that you\u2019re not accurately recording the cash flowing out of the business when it occurs.<\/p>\n\n\n\n<p>Some regular payments might be yearly, such as insurance. Again, record the lump sum at the time it\u2019s paid.<\/p>\n\n\n\n<p>This is why cash flow forecasts can be so invaluable.<\/p>\n\n\n\n<p>If you add a projected \u20ac500 spend on marketing in a particular month, but find you won\u2019t have the cash coming in to pay for it (or savings in the bank), then you have an issue.<\/p>\n\n\n\n<p>Therefore, you can postpone the spend, or renegotiate with the supplier to perhaps pay later, or pay less. You might arrange an overdraft with your bank.<\/p>\n\n\n\n<p>But the key thing is that you\u2019ve seen the problem from afar and can prepare well in time.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">6. How to work out the closing balance on a cash flow forecast<\/h3>\n\n\n\n<p>The closing balance for each month is simply your opening balance plus (or minus) the net cash flow figure.<\/p>\n\n\n\n<p>In other words, if you open with an opening balance of \u20ac10,000 and the net cash flow shows \u20ac300, the closing balance will be \u20ac10,300.<\/p>\n\n\n\n<p>Or if you open with a figure of \u20ac800 and the net cash flow is \u20ac900, the closing balance will be -\u20ac100 (sometimes negative figures are indicated in financial documents by being within parenthesis).<\/p>\n\n\n\n<p>This closing figure then becomes the opening balance for the next month and, with most cash flow templates, the figure will be transferred across automatically.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"cash-anchor-link\">Final thoughts on cash flow forecasting<\/h2>\n\n\n\n<p>It\u2019s very easy to neglect the cash flow forecast if your time is pressed.
