No ERP initiative should go forward without detailed analysis to ensure the project scope is well-defined, the budget is accurate and complete, and the goals are clearly aligned to company objectives. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And no approval should come without determining ROI and the payback period.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Still, many organizations skip building a complete business case because they view it as simply justification for an investment in the technology.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But a business case adds additional value beyond confirmation of a clear need: It is a critical vision- and goal-setting exercise. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And, most important, it forces you to make a detailed plan that sets expectations, guides your project and drives your business transformation.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"5\"><strong>5 solid business reasons to replace your ERP<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">At its most basic level, the decision to implement a new <a href=\"https:\/\/www.sage.com\/en-us\/sage-business-cloud\/sage-x3\/\">ERP solution<\/a> is about capabilities: Does your current system provide all the capabilities you need?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Of course, in reality, there are other, more complicated questions.&nbsp; And, a compelling business case for a new ERP solution must be made for a potentially expensive, possibly risky, and definitely disruptive overhaul of your core business processes and enterprise management system.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Your organization is growing, has grown, or is planning to grow significantly.<\/li>\n\n\n\n<li>Your organization needs enterprise software to better manage processes.<\/li>\n\n\n\n<li>Your organization was acquired or made an acquisition and needs to align systems.<\/li>\n\n\n\n<li>Your current system is outdated and cannot be upgraded.<\/li>\n\n\n\n<li>Your current system is not serving the business and users adequately.<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"step\"><strong>Step-by-step guide to building a business case for a new ERP<\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">To get started with your business case, follow the below steps:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-identify-current-problems-and-reasons-for-change\">Identify current problems and reasons for change<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What are your pain points?<\/li>\n\n\n\n<li>Which processes do you want to fix?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Examine and evaluate all your key business processes. You can\u2019t make improvements if you don\u2019t know which processes are slow, bad or broken \u2013 and without identifying any obstacles to change and growth.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-determine-and-analyze-opportunity\">Determine and analyze opportunity<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>How can your organization benefit from process improvements?<\/li>\n\n\n\n<li>What are the solutions to your pain points?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\" id=\"h-the-majority-of-erp-benefits-come-from-the-interconnectedness-of-functions-and-processes-and-the-integration-and-accessibility-of-data-across-all-departments-it-s-important-to-understand-what-your-key-processes-are-know-what-is-keeping-you-from-achieving-your-vision-and-identify-which-processes-are-related-versus-those-that-are-system-constrained-3-determine-focus-and-define-goals\">The majority of ERP benefits come from the interconnectedness of functions and processes \u2013 and the integration and accessibility of data across all departments. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\" id=\"h-the-majority-of-erp-benefits-come-from-the-interconnectedness-of-functions-and-processes-and-the-integration-and-accessibility-of-data-across-all-departments-it-s-important-to-understand-what-your-key-processes-are-know-what-is-keeping-you-from-achieving-your-vision-and-identify-which-processes-are-related-versus-those-that-are-system-constrained-3-determine-focus-and-define-goals\">It\u2019s important to understand what your key processes are, know what is keeping you from achieving your vision, and identify which processes are related versus those that are system-constrained.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-determine-focus-and-define-goals\">Determine focus and define goals<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What does your organization want to accomplish?<\/li>\n\n\n\n<li>What is your vision for your future state?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">With the potential benefits identified, the next step is to know which ones are critical to achieving your organization\u2019s future state and aligned with its transformational vision. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Your management team should determine the most critical, big-picture changes for the business. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Functional managers must define the specific process improvements they want to achieve. And then the organization needs to translate this vision into detailed goals.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-evaluate-potential-solutions-and-vendors\">Evaluate potential solutions and vendors<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Which vendors have expertise in your industry?<\/li>\n\n\n\n<li>Which solution is best for your organization and requirements?<\/li>\n\n\n\n<li>Which solution offers capabilities and functionalities to support your goals?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">You probably started gathering information on appropriate ERP solutions long before you started work on the business case. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But now \u2013 after identifying pain points and their solutions, and clarifying your goals \u2013 you\u2019ve got solid insight into your needs and how your organization can benefit from specific improvements \u2013 and are better able to identify solutions that are well-suited for your organization and process.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-estimate-costs\">Estimate costs<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What is an accurate number for the project cost?<\/li>\n\n\n\n<li>What cost factors should be included?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">A realistic and valid business case requires an accurate estimate of the total cost of ownership for a new ERP solution. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The first and most obvious expense is the software itself. Which often is a complex calculation, and, obviously, will vary based on the number of users, and whether the solution is on-premises, hosted or cloud\/SaaS. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The other significant cost is implementation services, including software configuration, change management and project management. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Remember, too, that implementation is not the end of your costs: Licenses and maintenance fees are a significant ongoing expense.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-analyze-return-on-investment\">Analyze return on investment<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What is the net cost of the new solution?<\/li>\n\n\n\n<li>What is the value of the intangible benefits?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Revisit the opportunities identified and goals defined, and calculate their ROI. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Typically, your return will come mainly from more efficient production and resulting reductions in operating, inventory and labor cost. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Quantify these benefits. Remember to compare the operating cost of your current system with the system that will replace it. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And know that indirect benefits have real value. For example: higher customer satisfaction = X% more repeat sales = $X revenue.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-identify-risks-and-provide-a-mitigation-plan\">Identify risks and provide a mitigation plan<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What factors put potential benefits and project success at risk?<\/li>\n\n\n\n<li>What mitigation efforts will reduce risk?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Any major change to your enterprise systems creates risk. But careful and comprehensive project planning,&nbsp;effective change management and expert resources mitigate that risk.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-create-a-high-level-implementation-plan\">Create a high-level implementation plan<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>How will the solution be implemented?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">A detailed implementation plan is not needed at this point. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But a proper evaluation of the business value of the project needs to include a big-picture view of how it will proceed, and a projection of both the resources required and the implementation schedule.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-present-the-benefits-and-value\">Present the benefits and value<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>How will each department and function benefit?<\/li>\n\n\n\n<li>What is the argument for a new ERP?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Stakeholders across your organization will have concerns: A new ERP and re-made business processes will disrupt nearly every function. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Convince them that the long-term benefits will be worth the short-term pain. Focus on the value driven by improvement in their functional areas and processes.
