If you’re like most organizations in the Professional Services, Field Services, and Construction industries, your project billing is a combination of time and materials (T&M). And like many, your employees may have different rates for standard and overtime hours, or you may use any number of units of measure (UOM) to bill time. That’s a lot to keep track of.
“The system won’t let us do it our way,” is an unfortunate phrase we hear too often when our clients share the frustration they experience trying to manage their complex, multi-line project pricing. If your business model requires extensive pricing and billing flexibility, or you’re creating the same price list repeatedly, there’s a Sage Intacct customization to help alleviate your headaches.
With AcctTwo Flexible Project Billing for Sage Intacct, billing customers in a way that makes sense for your business is a breeze. Supporting any number of pricing lines that can include your required combination for labor rates, materials costs, or other billable expenses. Then, you can easily apply your Project Price List to any new or existing projects so you save time and maintain better consistency. Billing is a breeze with the built-in Pre-Bill Report letting you see what’s out available to bill, then creates detailed invoices your clients will easily understand. You can see AcctTwo Flexible Project Billing in action in this short demo video.
Eliminate Repetitive Data Entry
It’s easy to create a new Project Price List. Include any combination of UOM’s in your pricing models, including by day, by shift, by hour, consumables, and AP expenses. The module is configurable so you can create unique UOMs that are just right for your business. Easily add any number of markup percentages to selected items or item groups. Configure regular and overtime rates, or define the number of hours in a “day” or “shift.” Specific employees can have their own rate. And if you have ongoing billing for phases, you can set a retainage percentage to maintain.
Assign Your Price List to Multiple Projects
Assign your new Project Price List to your new or existing Project you create in the Sage Intacct Project Billing Module by just selecting it from a list. Your pricing is applied to any child projects under a parent project if you assign the Project Price List at the parent level. It will also be applied to any current or new child projects. You can select the level to invoice and the system will automatically include your selected parent- or child-level projects.
See What’s Available for Billing in Seconds
Quickly see what’s available to be billed, including billable A/P purchases, expense reports, and timesheets with the Pre-Bill Report that’s built in. While reviewing your outstanding billables, you can filter the list by Customer, Project, Project Type, or Project Manager to see only what you want to see. The report displays Approved time entries by default, but you can easily choose to include Drafted, Submitted, and Declined time in your Pre-Bill Report as well. Filter your date range, or use an “As of” date filter.
Bill Clients the Way You Want
Ultimately, you need your clients to pay your invoices quickly, and clearly understand what is being invoiced. That’s precisely what you’ll achieve with AcctTwo Flexible Project Billing. It examines information in your staging invoice and then applies your Project Price List data to generate a detailed invoice. Your client will see your various labor rates by day separated from consumables and materials, and other billable expenses. The system automatically pulls in detailed source transaction data to the Sales Invoice and displays any Transaction Date, Vendor Bill Number, Markup Amounts, to name a few. The module enables extensive formatting capabilities for you to customize your invoices to suit your unique needs.
